How to manage admins and user roles

Understanding the roles

  • Owner — one per community. Full access, including billing, Stripe, and community settings.
  • Admin — up to 3, promoted by the Owner. Can manage events, posts, members, join requests, Memory Board, Legacy Wall, and Messaging, and can edit community branding.
  • Super Admin (optional, up to 1) — an Admin the Owner designates for continuity. Works exactly like a regular Admin day to day, with one extra ability: reclaiming ownership if needed.
  • Member — everyone else. Can participate fully in the community but has no admin dashboard access.

📌 Note: A community can have up to 4 admin-level people total — the Owner plus up to 3 Admins (the Super Admin, if designated, is one of those 3).

Steps

Promoting or demoting an Admin

  1. Go to the Members page. Click Members in the left menu.
  2. Find the member you want to promote or demote.
  3. Click Make Admin (or Remove Admin) next to their name.

📌 Note: You can have up to 3 Admins at a time. If you’re at the limit, remove or demote one before promoting someone new.

Designating a Super Admin (Owner only)

  1. Go to Settings and find the Ownership section.
  2. Choose an existing Admin to designate as Super Admin.

💡 Tip: Talk with the person before designating them — Gettagether doesn’t require them to accept in-app, so it’s worth a real conversation about what the role means first.

📌 Note: A Super Admin can reclaim ownership at any time using a Transfer Ownership to Me button, which requires typing the community name to confirm. This is meant as a safety net (illness, account loss, etc.) — if the current Owner is unreachable, the community is never left stranded.

Transferring ownership (standard flow)

  1. Go to Settings and find the Ownership section.
  2. Click Transfer Ownership and choose an existing Admin to receive it.
  3. The recipient has 7 days to accept the transfer by email. Once they accept, they become the new Owner, and you’re automatically moved to Admin.

📌 Note: Ownership can only be transferred to someone who’s already an Admin. Promote them first if they aren’t one yet.

📌 Note: Your Stripe Connect account doesn’t transfer with ownership — it’s tied to your own legal identity. The new Owner will need to connect their own Stripe account before paid events or shop checkout can resume.

💡 Tip: As Owner, you can’t demote yourself directly — transferring ownership is the only way to step down, and it always leaves you as an Admin afterward, not removed from the community.
